Email Setup

How your system sends emails from your agency address

We set up all email infrastructure for you. We just need to know your domain and the addresses to use — then we'll send you two DNS records to add, which takes about two minutes.

Your email domain * The part after the @ symbol in your email address. We'll verify this domain so your system sends emails from your own address, not ours.

System sending address * All automated emails — to tenants, landlords and contractors — will come from this address.

Internal notifications address * Where internal alerts and invoice copies go. Can be the same as above.

What happens after you submit

Once your system is built, we'll send you two DNS records — these are short text entries that go into your domain settings. Adding them takes about two minutes and tells email servers that your domain is authorised to send via AgencyOS. We'll tell you exactly where to add them and walk you through it if needed.

Invoice Settings

How the system numbers invoices and charges for maintenance work

Your invoice code appears at the start of every invoice number your system generates. Most agencies use their initials — for example, Hartwell Lettings would use HL, giving invoice numbers like HL-2026-001.

Code for contractor invoices * 2–4 capital letters. Used on invoices the system passes from your contractors to your landlords.

Code for your own fees * 2–4 capital letters — usually your contractor code with an F added.

Your maintenance arrangement fee *

10%

The percentage you add to contractor costs as your arrangement fee. You can adjust this per landlord or per job once you are live.
