Set up four services and collect your access keys

🦋 Your system runs on four services that belong entirely to you. Three are completely free. One has a tiny usage charge. This step usually takes about 15 minutes.

Work through each account below, then paste your keys into the fields provided. If you get stuck at any point, tap the green WhatsApp button at the bottom-right of this page — we'll walk you through it.

1. Vercel

Hosts your maintenance portal and stores all your data

Free to start

Vercel is where your portal will live. Think of it like the landlord of the internet building your system sits in. Creating an account is free and takes about two minutes.

1Open a new browser tab and go to vercel.com/signup. Click Continue with Email and create a free account.
2Once you're logged in, look for your profile photo or initials in the top-right corner of the page. Click it, then click Settings in the menu that appears.
3In the left-hand menu on the Settings page, click Tokens. If you can't see it, scroll down the left menu.
4Click the button that says Create Token. A small form will appear.
5In the Token Name box, type: MaintenanceOS. Set Scope to Full Account. Set Expiration to 1 year. Then click Create.
6A long code will appear on screen. Copy it immediately — Vercel only shows it once. It will look something like: xxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxx
7Come back to this page and paste the token and your Vercel email address into the fields below.

Can't find the Tokens section? It's only in your personal account settings, not in a project or team. Make sure you're clicking your profile picture at the very top right, not a project menu.

2. Resend

Sends all automated emails from your system — to landlords, tenants and contractors

Free up to 3,000 emails/month

Resend is the service that sends emails from your agency address on your system's behalf. A typical letting agency sends well under 3,000 automated emails per month, so this is free for most agencies.

1Go to resend.com/signup and create a free account with your email address.
2Once logged in, look for API Keys in the left-hand menu. Click it.
3Click the + Add API Key button.
4In the Name field, type: MaintenanceOS. Under Permission, select Full access. Click Add.
5Your key will appear — it starts with re_ and is only shown once. Copy it and paste it in the field below.

Don't close the Resend page before copying the key — once you navigate away, you won't be able to see it again. If you lose it, you can always delete it and create a new one.

3. ImgBB

Stores photos that tenants upload when they report a maintenance issue

Completely free

ImgBB stores the photos your tenants attach to maintenance reports. It's completely free with no limits that will affect normal agency use.

1Go to imgbb.com and click Sign Up in the top-right corner.
2Create a free account with your email address.
3Once logged in, go directly to api.imgbb.com (you can type this into your browser address bar).
4Your API key will be displayed on that page. Copy it and paste it below.

4. Ideal Postcodes

Powers the address lookup when tenants report an issue on your website

Pay per lookup — typically under £5/month

You will need to add a payment card during signup. You are only ever charged when a tenant uses the address lookup — approximately 2 to 3 pence per use. For a typical agency this costs between £1 and £5 per month.

1Go to ideal-postcodes.co.uk and click Sign Up.
2Create your account. When prompted, enter a payment card — you won't be charged anything upfront, only when lookups are made.
3Once logged in, your API key is shown right on your Dashboard — look for a code that starts with ak_.
4Copy that key and paste it in the field below.

If you can't see your API key immediately after logging in, look for a "Keys" or "API" section in your account dashboard. It will start with ak_ followed by a string of letters and numbers.

5. Your Portal Login Key

The password you'll use to log into your maintenance portal every day

Choose something you'll remember but that would be hard for anyone else to guess. Requirements:
• At least 12 characters long
• Mix of letters, numbers and at least one symbol (e.g. !, @, -, #)
• Write it down somewhere safe before typing it here — if you lose it, you'll need to contact us to reset it

Invoice Settings

How the system numbers and charges for maintenance work

Your invoice code is a short set of letters at the start of every invoice number the system generates. Most agencies use their initials — for example, Hartwell Lettings might use HL, giving invoice numbers like HL-2026-001.

Code for contractor invoices * 2–4 capital letters. Used on invoices the system generates from your contractors to your landlords.

Code for your own fees * 2–4 capital letters — usually your contractor code with an F added.

Your maintenance arrangement fee *

10%

The percentage you add to contractor costs as your arrangement fee. You can adjust this per landlord or per job once your system is live.
